In July, QuickBooks came out with some fresh features and updates to map up their game. That’s part of why we love them - they’re always looking for new ways to make the accounting experience a breeze for the user. Updates every month, handy new features, and new QB tricks are some of our favorite things! There are multiple ways to add bills and receipts to QuickBooks - Receipt Capture via SmartPhone, email receipts@quickbooks.com, upload them from your computer, or manually add them yourself.
If you use the strategy of emailing QuickBooks your bills and receipts, then you’re in luck - things just got better! QB Online updated this feature as of last month. Normally you shoot off the bill or receipt to receipts@quickbooks.com, QB picks out the key information for your review, and you can confirm or edit before logging. But, what do you do if you’re working with multiple companies? QB’s solution is to allow you to create a customized email address per company to make sure your bill/receipt goes to the correct recipient. Perfect thinking!
To do this, go to the Banking menu, then the Receipts tab, and select Customize Email, then Confirm when you are ready - but only when you’re really ready! When creating the customized email addresses for each company you work with, use the format customizedemail@qbodocs.com. For example, if I’m working with a company called Anna’s Apples, I would create the email annasapples@qbodocs.com. However, choose the email wisely because changes cannot be made after moving forward. Keep it simple and keep it clear.
Once you create the customized email, you can no longer send documents to receipts@quickbooks.com, and QB will begin to forward bills and receipts to the email created. Once you email your receipts in, QuickBooks will log this information in the Receipts tab, just like normal.
The last step is to choose users who can also forward bills or receipts to the customized email, which you can do by selecting Manage Senders under the Receipts Tab. This will ensure QB is only being sent accurate information by the correct people.
